Job Description:

The Payroll Tax Analyst is responsible for managing payroll tax activities including compliance, filings, reconciliations, and issue resolution across multi-state payroll operations. This role acts as a bridge between associate and managerial levels, ensuring accuracy, compliance, and process efficiency.

Payroll Tax Processing

  • Manage end-to-end payroll tax calculations for multi-state employees
  • Review and validate tax deductions and system setups
  • Ensure accuracy in payroll tax configurations

Tax Filing & Compliance

  • Prepare and review federal, state, and local tax filings
  • Handle Forms 941, 940, W-2, W-2C, and amendments
  • Ensure compliance with tax regulations and deadlines

Reconciliation & Reporting

  • Perform advanced payroll tax reconciliations
  • Analyze discrepancies and implement corrective actions
  • Generate reports for management review

Year-End Activities

  • Lead/support W-2 processing and validation
  • Handle corrections and amendments
  • Ensure smooth year-end close activities

Tax Notices & Resolution

  • Handle complex tax notices and agency communications
  • Investigate discrepancies and resolve issues
  • Coordinate with vendors and internal teams

Process Improvement

  • Identify process gaps and suggest improvements
  • Assist in SOP creation and updates
  • Support automation and system enhancements

Stakeholder Coordination

  • Work closely with Payroll, HR, Finance teams
  • Coordinate with external vendors and agencies
  • Provide guidance to junior team members

Qualifications:

Minimum Qualifications

  • 4+ years of Payroll/Payroll Tax experience
  • Strong knowledge of US payroll tax regulations
  • Experience in multi-state payroll environment
  • Hands-on experience with payroll systems (ADP, Workday, etc.)
  • Strong analytical and Excel skills

Preferred Qualifications

  • Bachelor’s degree in Accounting or Finance
  • Experience with tax notices and amendments
  • Knowledge of local taxes
  • CPP certification (preferred)
