Job Description:
The Payroll Tax Analyst is responsible for managing payroll tax activities including compliance, filings, reconciliations, and issue resolution across multi-state payroll operations. This role acts as a bridge between associate and managerial levels, ensuring accuracy, compliance, and process efficiency.
Payroll Tax Processing
- Manage end-to-end payroll tax calculations for multi-state employees
- Review and validate tax deductions and system setups
- Ensure accuracy in payroll tax configurations
Tax Filing & Compliance
- Prepare and review federal, state, and local tax filings
- Handle Forms 941, 940, W-2, W-2C, and amendments
- Ensure compliance with tax regulations and deadlines
Reconciliation & Reporting
- Perform advanced payroll tax reconciliations
- Analyze discrepancies and implement corrective actions
- Generate reports for management review
Year-End Activities
- Lead/support W-2 processing and validation
- Handle corrections and amendments
- Ensure smooth year-end close activities
Tax Notices & Resolution
- Handle complex tax notices and agency communications
- Investigate discrepancies and resolve issues
- Coordinate with vendors and internal teams
Process Improvement
- Identify process gaps and suggest improvements
- Assist in SOP creation and updates
- Support automation and system enhancements
Stakeholder Coordination
- Work closely with Payroll, HR, Finance teams
- Coordinate with external vendors and agencies
- Provide guidance to junior team members
Qualifications:
Minimum Qualifications
- 4+ years of Payroll/Payroll Tax experience
- Strong knowledge of US payroll tax regulations
- Experience in multi-state payroll environment
- Hands-on experience with payroll systems (ADP, Workday, etc.)
- Strong analytical and Excel skills
Preferred Qualifications
- Bachelor’s degree in Accounting or Finance
- Experience with tax notices and amendments
- Knowledge of local taxes
- CPP certification (preferred)
