Job Description:

The Facilities Manager is responsible for ensuring that the organization's facilities operate efficiently, safely, and in compliance with applicable requirements. This includes overseeing maintenance, security, cleaning, waste management, transportation expenses, expansion projects, asset inventories, and other facility-related services.

Key Responsibilities

  • Oversee and coordinate all facility-related activities and services.
  • Plan and manage the facilities maintenance budget.
  • Ensure facilities comply with occupational health and safety regulations.
  • Oversee waste management and ensure appropriate disposal practices.
  • Coordinate the procurement and delivery of cleaning, security, and maintenance services.
  • Manage preventive and corrective maintenance activities.
  • Partner with other departments to ensure facilities meet their operational needs.
  • Regularly audit processes performed by direct reports to ensure efficiency and compliance with established policies and procedures.
  • Maintain strict control of transportation-related expenses, ensuring they remain within the approved budget and identifying opportunities to optimize costs.
  • Lead all site expansion projects, ensuring delivery within established timelines and coordinating the teams required for execution.
  • Control the annual fiscal-year budget in line with approved amounts and information received from vendors and Procurement. Any expense exceeding the approved amounts must be authorized by email by the Senior Manager, Facilities LATAM, VP Facilities, or Business Controller.
  • Monitor site consumption and optimization initiatives to support a healthy organizational carbon-footprint impact. Audit the process to ensure the Carbon Footprint (CFP) tool is current, properly documented, and demonstrates improvement compared with the previous fiscal year.
  • Audit inventory processes and ensure all asset trackers remain current, including furniture, chairs, televisions, UPS units, projectors, air-conditioning units, and other assets. Mobile phones must also be registered in the company's MainApp tool.
  • Conduct periodic audits of the petty cash managed by the team, reviewing invoices and ensuring compliance with Finance policies. Purchases must be made at businesses that provide electronic invoices and may not exceed COP 500,000 per invoice. Expense reconciliation must be approved by the Senior Manager, Facilities.
  • Conduct regular site walkthroughs with the team to ensure work is completed in accordance with the company's established service-level agreements (SLAs).

Qualifications:

  • Bachelor’s degree in Industrial Engineering, Mechanical Engineering, Industrial Management, Architecture, Facility Management, Business Administration, or a related field.
  • 4-5 years of relevant facilities management experience; property management and/or BPO experience is highly desirable.
  • Advanced English proficiency.
  • Knowledge of occupational health and safety regulations, budget management, team coordination, communication, and problem-solving.
  • Candidates with different academic backgrounds may be considered if they have strong, transferable experience relevant to the role.
